Trip objective
01
ENQUIRY

Understanding your objective

Start with your objective, group size and preferred dates. We can work out the cities and format together.

FOR YOUR OBJECTIVE

We clarify your industry, companies of interest and the outcomes you want from the meetings.

Your input
Objective, participants, dates and an indicative budget.
Stage outcome
A shared understanding of your objective and the information needed to prepare a programme.
Can we enquire without a ready-made programme?

Yes. Tell us the outcome you want and what you already know about the group. If the cities, dates or budget are still undecided, say so — we can clarify them while preparing the proposal.

02
PROGRAMME

Agreeing the programme and cost

We bring the route, meetings and experiences into a clear plan, then agree the services and costs before confirmation.

FOR YOUR OBJECTIVE

We identify priority visits and alternatives, clearly noting what still needs confirmation from the hosts.

Your input
Priorities, constraints and your feedback on the proposal.
Stage outcome
A programme, scope of services and cost estimate for your approval.
What should we check in the proposal?

Check the included services, separate expenses, confirmed visits and meetings still awaiting approval. Payment, change and cancellation terms are set out in the contract.

03
PREPARATION

Confirming the details

We work through accommodation, transport and scheduling, gathering the information needed to organise your programme.

FOR YOUR OBJECTIVE

We prepare meeting information: delegation details, your company profile and questions for the hosts.

Your input
Group details and participants' practical requirements.
Stage outcome
Confirmed arrangements and practical information before arrival.
What will you need from our company?

Appoint a contact person, provide the required participant details and tell us about timing, dietary and accessibility needs. We agree which information is needed and when after confirming the programme.

04
ARRIVAL

Welcoming your group to China

We agree the meeting point, transfers and accommodation. Participants receive programme details and a contact for on-site support.

FOR YOUR OBJECTIVE

We allow time to recover from the journey before the first business meeting.

Your input
Up-to-date arrival details and any flight changes.
Stage outcome
Clear arrival arrangements and a smooth start to the trip.
What if participants arrive on different flights?

Let us know during planning. Transfers and check-in times are arranged for each part of the group. Separate transfers can affect the price and should be included in the agreed services.

05
MAIN PROGRAMME

Delivering your programme

We coordinate meetings, transport and on-site support within the agreed scope of services.

FOR YOUR OBJECTIVE

The programme centres on agreed visits, meetings and interpreting suited to their subject matter.

Your input
Participation in the programme and timely communication when questions arise.
Stage outcome
On-site coordination of your programme.
What if a host reschedules a meeting?

Factory access and the availability of specific participants depend on the hosts. If arrangements change, we discuss alternatives or a revised schedule with you. It helps to agree priority visits and acceptable alternatives in advance.

06
SHARED EXPERIENCES

Making time to connect

We choose cultural and evening activities to suit the group's interests, your objective and the pace of the trip.

FOR YOUR OBJECTIVE

We plan evenings around the demands of the working day, leaving time for conversation.

Your input
Preferences for activities, food and free time.
Stage outcome
An agreed balance of scheduled activities and downtime.
Can we leave participants some free time?

Yes. It is best to build this into the schedule early. We agree group activities, free time and any support during those hours separately, giving everyone a clear schedule and room for personal plans.

07
DEPARTURE

Planning a smooth departure

We take departure times and check-out arrangements into account, and agree transfers for the group or individual participants.

FOR YOUR OBJECTIVE

We schedule the final meeting around departure times so the business programme can finish without a rush.

Your input
Confirmed departure details and any specific requests.
Stage outcome
Agreed departure and transfer arrangements.
What if some participants stay longer in China?

Let us know when agreeing the programme. We will clarify additional accommodation, transfers and the scope of support separately, and reflect changes in the services and estimate.
